Personal Data Processing Information Notice
Information notice pursuant to Article 13 of Regulation (EU) 2016/679 (GDPR)

This notice applies to personal data processed by Słowem w Twarz Association in connection with use of the website www.stowarzyszenieswt.pl, contact with the organization, participation in projects and workshops, volunteering, and membership in the association.

Correspondence and inquiry handling
Article 6(1)(f) GDPR – legitimate interest of the controller
We respond to emails, requests, and inquiries submitted through contact channels.
Educational and cultural project delivery
Article 6(1)(b) or 6(1)(a) GDPR – contract performance / consent
We register participants for workshops, camps, artistic events, and training sessions. For minors, legal guardian consent may be required.
Volunteering and cooperation agreements
Article 6(1)(b) and 6(1)(c) GDPR – contract / legal obligation
We conclude and perform volunteering agreements in line with applicable Polish public benefit and volunteering law.
Association membership
Article 6(1)(c) GDPR – legal obligation
We maintain membership records under the Polish Associations Act and related legal requirements.
Financial settlements and reporting
Article 6(1)(c) GDPR – legal obligation
We prepare accounting documentation, grant settlements, and statutory reports for public authorities.
Newsletter and marketing communication
Article 6(1)(a) GDPR – data subject consent
We send updates on projects, events, and activities. Consent may be withdrawn at any time.
Data retention periods
We retain data for as long as needed for the relevant purpose or as required by applicable law:
- Financial and accounting records — 5 years after the end of the fiscal year.
- Membership records — duration of membership plus 10 years after termination.
- Project/grant documentation — 5 years after project completion or longer if contractually required.
- Volunteering agreements — 5 years after agreement termination.
- Correspondence — up to 3 years after case closure.
- Newsletter data — until consent withdrawal or service termination.

Under GDPR, you have the right to:

Is providing data mandatory?
Providing data is voluntary, but in many cases necessary to use services or conclude an agreement.
- Without an email address, we cannot respond to your inquiry or register you for an event.
- Without legally required data, we cannot conclude certain volunteering agreements.
- Without required membership data, admission to the association is not possible.
Automated decision-making and profiling
We do not use automated decision-making, including profiling, that produces legal effects or similarly significant effects on data subjects.
